Refund Policy
1. Overview
The 19th Hole Syndicate (operated by 19th Hole Golf Group Ltd) organises golf events on a cost-sharing, not-for-profit basis. Participant payments contribute toward event costs, including venue charges, hospitality, administration and other associated event expenses.
This Refund Policy explains how cancellations, transfers and refunds are handled and forms part of the terms applying to event bookings.
Nothing in this policy affects any rights participants may have under applicable law.
2. Participant Cancellations
If you need to cancel your place at an event, you should notify the Syndicate as soon as reasonably possible.
Cancellations made 14 days or more before an event
Participants will ordinarily be entitled to a refund of sums paid, less any non-recoverable costs already committed or incurred on their behalf at the time of cancellation (for example venue deposits, pre-paid green fees or catering commitments).
Cancellations made within 14 days of an event
Because event costs are often committed in advance, cancellations made within 14 days of the event may result in a reduced refund or no refund, but only to the extent of genuine irrecoverable costs already committed or incurred.
The Syndicate will not retain sums beyond covering unrecoverable event costs reasonably incurred.
3. Transfers and Replacement Participants
Where reasonably practicable and subject to venue requirements, a participant may arrange for their place to be transferred to a replacement participant.
The Syndicate may assist with transfers but cannot guarantee that a replacement can be accommodated.
Any additional costs resulting from a transfer may be payable by the transferring participant.
4. Event Costs and Advance Commitments
Participants acknowledge that the Syndicate may be required to commit or pay event costs to venues and suppliers in advance of receiving all participant funds or before payment processor settlement has completed.
Refunds may therefore be reduced where costs have already been committed or paid and cannot reasonably be recovered.
The Syndicate will act reasonably and transparently in assessing such costs.
5. Cancellation by the Syndicate
If the Syndicate cancels an event, participants will ordinarily be offered, depending on circumstances:

a refund of recoverable sums paid; or
-
transfer of payments to a rescheduled or alternative event.
Where third-party venues or suppliers retain sums that cannot reasonably be recovered, refunds may be reduced only by those irrecoverable amounts.
Any recoveries subsequently obtained from venues or suppliers will be passed on or credited to participants where appropriate.
6. Weather and Venue Decisions
Golf events are subject to weather conditions and decisions made by host venues.
Where a venue closes a course, restricts play, or materially changes the event, the Syndicate will communicate any options made available by the venue.
Any refund or credit in such circumstances will depend on recoveries available from the host venue or suppliers, and any sums recovered will be passed on or credited where applicable.
7. Non-Attendance
If a participant fails to attend an event without prior notice, no refund will ordinarily be available, as event costs will usually already have been incurred.
8. Exceptional Circumstances
In genuine exceptional circumstances, the Syndicate may, acting reasonably, consider requests for:

a partial refund; or
-
credit towards a future event.
Requests will be considered case by case.
9. Refund Processing
Where a refund is approved:

refunds will normally be made through the original payment method via the applicable payment provider, including Wix Payments where used;

refund timing may depend on payment processor procedures and banking times;

while refunds are typically processed promptly once approved, please allow a reasonable period for receipt.
