1. About These Terms
These Terms & Conditions apply to your use of The 19th Hole Syndicate website and, where applicable, your booking for and participation in events and activities organised through the Syndicate.
By using this website, submitting a booking or registration, or participating in an event, you agree to be bound by these Terms & Conditions.
If you do not agree to these Terms, you should not use the website or participate in events.
Nothing in these Terms affects rights that cannot lawfully be excluded under applicable law.
2. About The 19th Hole Syndicate
The 19th Hole Syndicate (operated by 19th Hole Golf Group Ltd) organises and coordinates golf society events, networking opportunities and related social activities for participants.
Golf, catering, hospitality and venue services are supplied by third-party host golf clubs and venues.
The Syndicate’s role is to organise, coordinate and administer participation in those events.
Participant payments or contributions are applied toward event costs and reasonable administration associated with operating the society on a cost-sharing, not-for-profit basis.
3. Eligibility and Participation
Participation in Syndicate events is limited to persons aged 18 or over.
You agree to provide accurate and current information when registering or booking.
We may refuse, suspend or withdraw participation where reasonably necessary for safety, event management, breach of these Terms, or inappropriate conduct.
4. Event Information
We aim to ensure event details, including dates, times, venues and pricing, are accurate when published.
However, reasonable changes may be required due to weather, venue decisions, supplier issues or operational circumstances.
We reserve the right to make such reasonable changes and will communicate material changes where practicable.
5. Bookings and Places
Submission of a booking request or expression of interest does not guarantee a place.
A booking is only confirmed when accepted by the Syndicate and, where applicable, payment has been received.
Places may be limited and may be allocated on a first-come first-served basis or another fair allocation method where appropriate.
6. Payments and Contributions
Where payment is required, pricing and what it covers will be made clear.
Charges may include, where applicable:

green fees provided by host venues
-
food or hospitality provided by venues
-
society administration or running-cost contributions
Payments are collected to facilitate event organisation and associated costs on a cost-sharing basis.
Payment processing may be handled through third-party payment providers.
7. Cancellations, Refunds and Withdrawals
Cancellations and refunds are governed by the Syndicate Refund Policy, which forms part of these Terms.
In summary:
-
cancellations made 14 days or more before an event will ordinarily qualify for a refund, less any genuine non-recoverable costs already committed or incurred;
-
cancellations made within 14 days may result in a reduced refund or no refund only to the extent of genuine irrecoverable costs already incurred;
-
where reasonably practicable, transfers to replacement participants may be permitted;
-
where the Syndicate cancels an event, participants will ordinarily be offered a refund of recoverable sums, credit, or transfer to an alternative event.
The Syndicate will not retain sums beyond covering genuine unrecoverable costs reasonably incurred.
8. Weather and Venue Conditions
Golf events are subject to weather conditions and decisions of host venues.
If a host venue closes a course, restricts play or materially alters an event, we will communicate available options.
The Syndicate is not responsible for operational decisions made by host venues, though any recoveries obtained from venues in relation to cancellations or disruptions will be passed on or credited where appropriate.
9. Society Rules and Conduct
Participants are expected to behave respectfully and responsibly at all times.
By attending events you agree to:

treat participants, guests and venue staff respectfully
-
comply with host venue rules, dress codes and policies
-
observe golf etiquette and pace of play
-
avoid unsafe, disruptive or inappropriate conduct
Where a participant materially breaches these standards, we may reasonably remove or exclude that participant from an event.
Where removal results from a participant’s serious misconduct after event costs have already been incurred, refunds may be refused to the extent those costs are irrecoverable.
10. Personal Responsibility and Liability
Participation in golf and related activities involves inherent risks.
Participants participate at their own risk and are responsible for exercising reasonable care and judgment.
To the fullest extent permitted by law, the Syndicate excludes liability for losses arising from participation except where caused by the Syndicate’s negligence or where liability cannot lawfully be excluded.
Nothing in these Terms excludes or limits liability for:

death or personal injury caused by negligence
-
fraud or fraudulent misrepresentation
-
any liability which cannot lawfully be excluded or limited
Subject to the above, the Syndicate is not responsible for:

loss, theft or damage to personal property brought to events;
-
losses arising from participants’ own acts or omissions;
-
acts or omissions of third-party venues or providers beyond the Syndicate’s reasonable control.
11. Damage Caused by Participants
Participants remain responsible for loss or damage they cause to venues, facilities or third parties.
Where the Syndicate incurs costs arising directly from such damage caused by a participant, it may seek reimbursement from the responsible individual.
12. Photography and Media
Photographs or video may be taken at events for use in connection with the Syndicate, including website and social media content.
If you would prefer not to appear, please notify us and we will take reasonable steps to respect that preference.
13. Website Use
All content on this website, including text, branding, graphics and images, is owned by or licensed to the Syndicate unless otherwise stated.
Content may be viewed for personal, non-commercial use only.
No content may be copied, reproduced, distributed or exploited without prior written permission.
14. Third-Party Links
This website may contain links to third-party websites.
Such links are provided for convenience only.
The Syndicate is not responsible for the content, availability or practices of third-party websites.
15. Privacy

16. Events Beyond Reasonable Control
The Syndicate shall not be liable for failure or delay in performing obligations where caused by circumstances beyond its reasonable control, including severe weather, venue closures, supplier failures, transport disruption or other unforeseen events.
Where reasonably possible, alternative arrangements or appropriate credits or refunds will be considered.
17. Changes to These Terms
We may update these Terms from time to time.
The latest version will appear on this website.
Changes will not materially affect confirmed bookings already made unless required by law or reasonably necessary for safety or event administration.
18. Governing Law
These Terms & Conditions and any dispute arising from them shall be governed by the laws of England and Wales, and the courts of England and Wales shall have jurisdiction.
